Privacy policy

Vanix Subscriptions ("Vanix", "we", "us") is a Shopify app that lets merchants sell and manage subscriptions. This policy explains what information the app collects when a merchant installs it, how that information is used, and the choices merchants and their customers have.
Information we collect
When a merchant installs Vanix, we access the following through Shopify's APIs, limited to the permissions the merchant approves:
- Store information — shop name, domain, locales, locations and settings needed to run the app.
- Customer information — names, email addresses, phone numbers and shipping addresses of customers with subscriptions.
- Subscription and order information — subscription contracts, selling plans, products and variants, orders created by renewals, discount codes, and billing attempts.
- Payment method references — Shopify's identifier for a customer's saved payment method, so renewals can be charged and customers can be sent a link to update it. We never receive or store card numbers.
- Activity — changes made to a subscription by a customer or by store staff, such as swaps, additions, pauses, cancellation reasons and notes, so merchants can see a history and analytics.
- Email delivery records — which emails were sent to a customer, and whether one bounced or was marked as spam, so we stop emailing addresses that cannot or do not want to receive them.
How we use it
- To bill renewals on schedule, retry failed payments, and create renewal orders.
- To let customers manage their own subscriptions within the rules a merchant sets.
- To send customers the emails a merchant turns on, in the merchant's name — reminders before an order, notices about changes to their subscription, and messages about a failed payment. These are about the customer's own subscription; we do not send marketing.
- To show merchants their subscriptions, customers, activity and analytics.
- To provide support and to keep the app secure and working.
We do not sell personal information, and we do not use merchants' customer data for advertising.
Sharing
We share information only with service providers that host and operate the app on our behalf — for example, cloud hosting and database providers — under agreements that require them to protect it. When we email a customer, our email delivery provider receives their name, email address and the message, in order to deliver it and to tell us if it bounced. If a merchant turns on AI insights, the subscription activity and cancellation notes needed to write those insights are processed by our AI provider; they are not used to train its models. We may also disclose information if required by law.
Retention and deletion
We keep data for as long as a merchant has the app installed. When a merchant uninstalls Vanix, Shopify notifies us and we delete the shop's data. We also honour Shopify's customer data requests and customer redaction requests, which a merchant or customer can initiate through Shopify.
Security
Data is encrypted in transit, access is limited to the systems and people who need it, and requests from Shopify are verified before they are acted on.
Your rights
If you are a customer of a store that uses Vanix, please contact that store first — they control your data and can make requests through Shopify on your behalf. Merchants and customers can also reach us directly with access, correction or deletion requests.
